  1. When are 2017 Sign Ups? How Much does it Cost?

    Returning Swimmers Sign Ups - April 17 & 18th 6-8pm 

    New Swimmer Sign Ups - May 15th &17th  6-8pm

    Residents $115 & Non-Residents $150

  2. When is the last day to register my Swimmer?

    The last day to register a swimmer for the 2017 season is June 8th. 

  3. Do we have to attend swim meets to be part of the team?

    Yes.  This year you must compete in 2 swim meets to be part of the team. 

    You must compete in at least 2 swim meets to be eligible for CHAMPS.

  4. What kind of swim suit does my swimmer wear?

    This is a swim team so Boys must were speedo style or jammer shorts.  Girls must wear one piece swim suits.  

    Suits should be Navy Blue or Navy Blue with White accents.

  5. Can my business or family sponsor the team?

    YES.  You can purchase a sponsorships sign or hang your own banner for $75.

    This year we have 2 home meets.  The sponsorship sign will be displayed at each of these events to over 200 people.

  6. Can I get a refund?

    Our current 2017 season policy is as follows: Before practice begins May 30 submit by email to the President and a full refund will be given. After the first practice the $30 coaches fee and $10 insurance is non-refundable. You will be charged $20.00 for Resident and $25.00 a week for Non-Residents. No refunds will be given after Friday June 14th. You must submit by email to the President by noon on Friday June 14 before the first meet.

Swim Meets - What do I do?

  1. This is our first year what should I bring to the Swim Meets?

    EZ-Up or some type of shade - you can also make a friend and share shade.

    Chairs or blankets - encourage your kids to relax between events, especially on super hot days. 

    Hydrating Beverages - avoid sodas which spikes blood sugar with an eventual crash

    Healthy Snacks to keep your swimmers energy balanced.  They will be using a lot of energy out there so make sure you are putting it back with protein. There is no shortage of sugar floating around these events so try to balance that out with something of substance. 

    Cash for Snack Shack - even if you bring food your kid will want something from the Snack Shack.   Hot Dogs, Hamburgers, drinks, and other snacks will be available.  The Water Otter Store will also be open selling shirts, swim caps, goggles and Water Otter Tatoos are also available and very popular.  

    SHARPIE PEN - this is to write your swimmers Race, Heat, Lane numbers on their arm or leg.  This will save a lot of head aches and helps your swimmer manage their time as well.  Blue pens match nicely with the swim suits ;-) 

    Camera & Video - Swimmers love to watch themselves race after they are done and helps in their advancement to see how they did. 

    A Positive Attitude - Swim meets are an all day commitment and usually run from 7am - 2pm.

  2. What time should I be there and what happens when I arrive?

    We encourage you to arrive at the meets no later than 7:30am.  

    Check in starts at 7am

    When you check in you will get your swimmers race slip that displays the events you signed them up for.  From time to time the Coach will change a swimmers race to include them in one of the Relays so the races could be slightly different than what you signed up for on the website. 

    Check in with the VOLUNTEER COORDINATOR to let them know you are there.  Volunteers are the cornerstone of making meets run efficiently and we do not like having to chase you down. 

    Warm Ups start at 8am including the Team Meeting.

    Meets start PROMPTLY at 9am.

    When your swimmer has completed all of their scheduled races you are free to go unless you have an afternoon Volunteer Shift - you must complete your shift.

  3. Can I stay with my Swimmer in the staging area?

    NO.  Please deliver your swimmer to the staging area, check them in at the right lane, and find an appropriate viewing area to watch them swim.

    Parents in the staging area create more distractions in an already hectic environment. 

    Coaches are in the staging area and if your swimmer needs help or encouragement they will provide it. 

    Your swimmer should be at the staging area approximately 2 races before theirs.  Listen to announcer who will be calling for the next racers to be staged. 

    The staging area is located under the tents behind the swim starting blocks. 

  4. What if I am working a Volunteer shift and my child is swimming in an event?

    Ask for someone to cover you for the 5-10 minutes it takes for your swimmer to complete their race.  Please return to you shift assignment as quickly as you can.

Volunteer Jobs

  1. How many Volunteer Shifts do I need to do?

    You must complete 4 - 3hr shifts.  Some shifts might not take 3 hours and will still count as a shift if you complete the work that is needed. 

  2. If they are "Volunteer" shifts why am I required to do them?

    If completing volunteer shifts is going to be a problem for you then swimming might not be the sport for your family.  Volunteers are needed at all levels of competitive swim.  If the word "Volunteer" bothers you then think of it as an unpaid internship in the world of swim. 

  3. Can I opt out of Volunteer Shifts?

    Yes you can pay a $250 fee to not do any Volunteer Shifts.  This fee needs to be paid in full before the first Swim Meet. 

  4. What happens if I miss a Volunteer shift?

    You will be charged $62.50 for any shifts you miss that are not excused.  

    You will be excused from your shift only if you make contact with either the President or the Volunteer Coordinator 24hrs prior to your shift and we are able to fill your shift with another Volunteer.

    You will be required to make up the shift at a later date.

    It is important that everyone takes care of their responsibilities to make a meet successful.  

    Swim meets depend on Volunteers so if you do not have the time to do the work you should think about if this is the activity for your family. 

  5. What do I do if I am the only parent in attendance and need to work my Volunteer Shift?

    Find another parent to watch over your swimmer and get them to their events.  This happens all the time and one of the benefits of being part of a team is that everyone is willing to help.  This situation should not keep your from your Volunteer duties. 

  6. Do I have to do a Volunteer Shift if my child swims at CHAMPS?

    Yes you will be required to do one 3hr shift of volunteer time.  Water Otters are in charge of Volunteer coordination for CHAMPS so we will need maximum participation. 

  7. Set- up (Pool Area)

    Arrive promptly to assist with pool area set up:  EZups, tables, equipment etc.   DO NOT LEAVE UNTIL DISMISSED BY POOL SET UP COORDINATOR

  8. Take Down (Pool Area)

    Immediately after the meet ends, assist with pool area take down.  DO NOT LEAVE UNTIL DISMISSED BY POOL TAKEDOWN COORDINATOR.

  9. What does the Setup/ Takedown person do?

    Important! Plug in starter system the night before to charge battery. Arrive 2 hours before start of meet.  Storage area has most of what you need to set up.  Setup/Teardown of Computers and Snack area typically accomplished by their respective volunteers.  Bring duct tape and any other tools to help with set up (i.e. pliers, etc.)

    Tasks to accomplish:

    • Easy Ups at end of pool to shade swimmers

    • Easy Up at mid pool for coaching staff

    • Diving Blocks in place (Pool Rec dept. usually does this)

    • Lifeguard tower might need to be moved

    • Warning flags strung across pool near both ends

    • Lane floats in place

    • Folding chairs (stored near Rec office) for swim lanes

    • Starter system (on tripod,) setup near announcing table

    • Tables w/Umbrella (2) for PA system and Announcer

    • Event Display stand set up near Announcer table

    • Yellow string to cordon off Stroke & Turn Judge area next to pool

    • PA System setup (all this equip in storage area)

       o Outlet for power on outside of fence near picnic tables

       o Put PA on Umbrella table near fence

       o Speakers on their own tripods spread on either side of PA table

       o Spread speaker wire along fence & plug into speakers/PA

       o Plug Microphone line into PA (Channel One), connect Mic and string to Announcer Umbrella table.

       o Tape down Mic cord between tables with Duct Tape

       o Bring IPod or portable CD player (& CD's) for background music (optional)

    • Trash Cans OK?

    • Look around pool for any tripping/safety hazards… Keep area around pool safe.

    After the meet is finished, employ volunteers to tear down all that was set up and return equipment to original storage area. Also, a general cleanup of pool surroundings is important so that we maintain a good relationship with LWW.

    The more volunteers, the better! Lots of tasks to accomplish. Don’t try and do your self…. Delegate!!!


  10. Announcer

    Runs the meet. Operates the "StartSystem" to make announcements; calls the swimmers up for their events.Starts each event. Judges false starts and makes sure backstrokers’ feet areunderwater before the start of the race.  Requires training.

    Responsible for keeping swim meet on schedule (Good idea to have accurate watch or time piece for this). You are the MC so try and keep the events flowing. Good idea to get a sound check before the meet starts to ensure PA system OK. Also, check the starter system to ensure working OK.

    Have schedule of events on clipboard with pencil. This will be your “script” to announce current and upcoming events. When a heat is about to begin, swimmers will get ready. (i.e. on the blocks,or in the pool, etc.). As they are doing this, you can remark about the event to take place, type of stroke, etc.

    Once the swimmers are ready, look over at the timers and say “Timers are you ready?” If they all have their stop watches up in the air displayed, you can say,“Swimmers take your mark”. This is followed immediately with a squeeze of the red button on the start system microphone. This activates theStart system by simultaneously flashing a strobe and beeping the starting horn. If it was a clean start, the race is underway and you can add color over the PA by announcing who is racing and what lane they are in. However, if it was false start, reengage the red button to get the false-start multi-beeps. Have the kids head back to the starting blocks and reset the race.

    After the race is complete,(i.e. all swimmers out of the pool), you can make announcements on which event finished, the next upcoming race, and subsequent racers that need to report to the staging area. It’s a good idea to continually remind everyone what event just finished, what event is next, and who should start heading toward the staging area. With that in mind, there will be an event display near the announcer’s table,(flip numbers). You can use this, (or have someone do it for you), to keep everyone informed on the current swim event.

    Combining heats:Sometimes, there are only a few swimmers in a heat and the next or previous heat might have open lanes. As you progress, the stagers can give you feedback that would allow you to combine heats. (This is a time-saver!)

    PSA’s: It’s a good idea to remind folks to drink plenty of water, reapply suntan lotion, no swimmers in the lake, etc. A pitch for our snack shack, T-shirt booth, and halftime raffle is alsogood.

    You’ll also keep track of shift change and remind the next volunteers when they should start moseying over to their work areas…

    If you like, you can also use the PA with background music, (if setup with IPod or portable CD), before Swim Meet starts, during halftime, and after the last event.

  11. Check in Table

    Arrive promptly at assigned time to check in and provide assistance to Water Otter swimmers and parent volunteers.  Check-in starts at 7am

  12. Lane Timer

    Using a stopwatch provided by the team, the timer starts the watch using the strobe light of the starting machine as the starting signal and stops the watch when any part of the swimmer touches the wall.  There is a timer from each team working each lane, one records the times on the lane slip.


  13. Back up Timer

    The back up timer starts the watch at the beginning of the race and helps any timer whose stopwatch didn’t start correctly. 

  14. Stager

    With clipboard and swim meet program, check in and organize swimmers in your lane(s).  This is an important job to keep the meet running on time.  If you are missing swimmers alert the Announcer to call their name. 

  15. What do the staging parents do?

    These parents bring the age groups of younger swimmers to the master stager when it is their time to swim. Two to three events before they are scheduled to swim, the staging parent makes certain that the swimmers are taken to the master stager and checked in for their race with the appropriate lane slip.

  16. What does the Master Stager do?

    The master stager is responsible for getting swimmers in line behind the appropriate blocks for their events. The master stager has the ability to combine heats in order to shorten the day and to avoid having a swimmer swim a heat alone. The stager gets to know every swimmer and can encourage (not coach) while the swimmers sit in their chairs.

  17. What does the Starter do?

    The host team is responsible for providing the starter. The starter gives the signal to the swimmers to stand on the blocks and once on the blocks must give the signal to “take your mark” and finally to start the race with the sound of the starting gun. The starter monitors the-false starts and which lane they are in, as well as announces the next event at the finish of the previous one. He/she also insures that the timers and judges are ready for the next race.

  18. Stroke and Turn

    The Stroke Judge watches the swimmer's form and must disqualify the swimmer if the stroke does not meet stated criteria. There are 4 stroke judges, 2 from each team, located diagonally across the pool fromeach other. The stroke judges are primarily responsible for the three lanes on their side and at their end of the pool.  Requires training.

  19. Finish Line Judge

    Stands/sits at the finishing end of the pool and marks who finishes in what place for every race.  Place is usually determined by the swimmer’s time, but if two swimmers tie according to the stop watches, the place judge results may be used to overrule the timeclock.

  20. Lane Slip Runner

    Collects lane slips from assigned lanes plus the place-order slips from the finish judges and delivers them to the scorer’s table.

  21. Scorekeeper

    After Lane Slip Runners bring in slips, the two scorekeepers enter data into the computer; one reads off times and places while the other enters data into computer.  This job requires attention to detail and ability to type on computer keyboard.

  22. Ribbon Writer

    After labels are printed, the Ribbon Writers place the labels on the correct place ribbons and then file them in the team ribbon box under swimmers’ names

  23. Alternate

    An Alternate must check in with the Volunteer Coordinator and be available during his/her whole shift assignment to relieve other volunteer workers for all or part of their shift as needed.

  24. Snack Bar Prep

    Snack Bar Prep requires volunteers to prepare food the Friday night prior to the meet for the snack bar as directed by the Snack Bar Coordinator

  25. Snack Bar Set up

    Arrive promptly at assigned time to set up snackbar equipment, EZups and food.  Sell concessions until relieved by next shift workers

  26. Snack Bar Sales

    Sells concessions at home meets.  Keeps stocking food and cleaning as needed

  27. Water Runners

    Serve water to pool deck volunteer workers by passing out water cups and pouring water as needed.

  28. BBQ

    Keep grill going and barbeque food as directed.

  29. Empty Trash/Recycle Clean up grass area

    Monitor grass and snack bar area.  Empty garbage and recycle cans as necessary.  At the end of the meet direct all present to clean up their area as needed. ONLY LEAVE ONCE ENTIRE  GRASS AND TABLE AREA IS CLEAN AND IN ORDER

  30. Snack Bar Clean up

    Immediately after the meet ends, assist in cleaning up snack bar area, put away all food, clean and store equipment, load food and equipment for transport, mop and clean as needed.  DO NOT LEAVE UNTIL DISMISSED BY SNACK BAR COORDINATOR.
